How to Use Altomate Payroll: DIY Paid

On this page

DIY Paid is for companies that run payroll themselves. You prepare payroll in AltomateHR, approve each pay run in your Payroll Hub, pay your staff through your bank, and submit your statutory files.

What DIY Paid includes

  • RM30 a month for 3 employees, plus RM10 for each additional employee, before 8% SST.
  • Payroll calculation, payslips and bank payment files.
  • Statutory files (EPF, SOCSO and EIS, and PCB) and the year-end Form E, EA and CP8D, which you submit yourself.
  • Optional add-ons: Expense Claim and Clock In / Out, RM3 per employee per month each.

Activate DIY Paid

  1. Sign in to your Altomate account at app.altomate.io and open Payroll.
  2. Choose DIY, then Paid. Enter your employee count and select any add-ons.
  3. Check the subscription, add-ons, SST and total, then pay. See payment methods.

Already on DIY Free? Under Current plan, select Upgrade to DIY Paid. Upgrades apply immediately.

Complete your company details

After activation, complete Company Payroll Info:

  1. Enter your SSM registration number, LHDN employer (E) number, EPF number, SOCSO/EIS number, tax reference type and number, and HRD Corp number.
  2. Set your payroll cut-off, processing and approval days, and your salary payment date.
  3. Save. You can come back and update these details later.

Prepare monthly payroll

  1. In your Payroll Hub, select Open in Payroll App. AltomateHR opens without a separate sign-in.
  2. Update new joiners, leavers, salary changes and adjustments.
  3. Run payroll after your cut-off, check it, then select Send for approval.

For the detailed steps inside AltomateHR, see How to Run Monthly Payroll.

Approve the pay run

  1. In your Payroll Hub, open the month under Pending approvals.
  2. Check the employee breakdown, gross pay, deductions, employer contributions, net pay and total cost, especially new joiners, leavers and salary changes.
  3. If it’s correct, approve it. If something is wrong, don’t approve: fix the record or adjustment in AltomateHR and re-run payroll.

If you can’t see the approval option, ask your account owner to check your payroll access.

Pay your staff

Approving a pay run doesn’t pay salaries. Your company pays staff through its bank.

  1. After approval, find the month under Salary payment file and select Download.
  2. Upload the file to your bank and complete the bank’s payment steps.

The file matches the payroll bank set in your payroll settings: Maybank, CIMB, Public Bank or Hong Leong. If you pay through another bank, use the Manual Payments file to pay staff yourself.

Submit your statutory files

Download the EPF, SOCSO and EIS, and PCB files from AltomateHR and upload them to KWSP, PERKESO and LHDN yourself. At year end, download Form E, EA and CP8D. See How to Download Payroll Files and How to Prepare EA, Form E, CP8D and Other LHDN Forms.

You also file new-hire and leaver forms yourself, for example CP22 within one month of a new employee starting, and CP22A no later than one month before a leaver’s last working day.
